No matter what you envision your special day to be, the staff at Hardwick Vineyard & Winery is committed to exceeding your expectations in ambience, service & food quality. Our timber frame barn winery is a perfect place to hold your special event or wedding. The three levels will keep your guests wondering while enjoying a glass of our wine. We can accommodate parties of 30-175. There is also a timber frame gazebo on the property that over looks the vineyards and would make a beautiful spot for a ceremony.  Treat your guests to an event they will remember and talk about for years to come. More can be possible with arrangements of an outdoor tent and an additional charge. Event specifics- such as style of service, special displays, entertainment or dancing, and special seating arrangements-will determine the final room capacities. The winery’s first level is wheelchair accessible and is non-smoking.

Outdoor Ceremonies & Functions
Our timber-frame open gazebo over looking the vineyard is a beautiful setting for your out-door ceremony and can accommodate a wedding party of up to twelve people very comfortably. The gazebo is located in an area that can accommodate many chairs for your guests and have a beautiful aisle for the bride and wedding party to make a grand entrance. You are welcome to decorate with anything that will make the gazebo even more beautiful or you can leave it as is.

Gazebo Rental Only No Reception to Follow
The gazebo ceremonies includes the use of the gazebo during the wedding ceremony, the day before the ceremony to decorate and an hour after the ceremony for the receiving line, pictures and the take down of your decorations. We also include white wedding chairs for up to 100 of your guests (ceremony only), after that the chairs are $2.00 each (6.25% sales tax will be added). We can make arrangements to have a tent provided in the case of bad weather and we will add the cost to the final price. Hardwick Vineyard and Winery will provide a room for the bride and her wedding party to prepare themselves before the wedding. There is a $800.00 fee for gazebo ceremonies with the above included if you are only having your ceremony at Hardwick Vineyard and Winery plus an 18% gratuity fee will be added for your hostess who will be there with you every step of the way from planning your details to organizing your wedding party and guests so you can relax and enjoy your special day.


OnSite Ceremony Fee
                                                                                                  
If you are also having your reception following the ceremony then the on site ceremony fee is $500.00. This fee goes towards the accommodations of using our facility for your rehearsal the day before your event and for your hostess who will be with you to oversee your plans and make them come true without you having to lift a finger. Your hostess will coordinate all vendors for your ceremony and make sure everything is perfect before you walk down the aisle.

Food & Beverage Minimums
At Hardwick Vineyard and Winery, we require minimum food and beverage host purchases, which does not include MA meal tax of 6.25% and an 18% gratuity and are as follows: $22.00 minimum per person per plate. All bottles of wine are available for purchase for the toast and for the tables at $12.00 a bottle with a case minimum purchase. Champagne toasts are available for $1.50 per person and a wine toast is available for $1.75 per person.

Reservations and Deposits
After meeting in person, we will tentatively hold an event without deposit for up to 7 days. After 7 days, that date will be considered open. Should you decide within those 7 days not to use our facilities, a call would very much be appreciated. Deposits are required on all private functions and are non-refundable. No reservation is final until a deposit is received. A minimum deposit of $1,000.00 is required. An additional deposit equal to half of the total bill is due 30 days prior to event. Weddings also require a prepayment, the total bill 7 days in advance of the wedding. ALL DEPOSITS ARE EXCEPTED WITH CASH OR CHECK. NO CREDIT CARDS EXCEPTED 

Arrangements
Arrangements for entertainment, florists, photographers, special occasion cakes can be made. Other arrangements, such as menus, liquor service, ice sculptures, table arrangement, color schemes, decorations, should be made one month prior to the event date.

Personalize Wine Bottle Favors

Hardwick Vineyard & Winery specializes in personalized 375ml. individual wine favors for your guests to take home and remember your special day. Please enquire with our event coordinator to discuss pricing and options. 

Guarantees
Due to our Food and Beverage Minimum Purchase Amounts, it is very important that you have a good idea of the number of people that will be attending your event when you book it. An approximate meal count with menu selections should be given at least 30 days prior to the date of event. The final guaranteed guest count is required 7 days prior to your function date. Additions can usually be accommodated up until the day of the event.

Pricing
Hardwick Vineyard and Winery reviews its prices and fees on an annual calendar year basis. Substitutions and additions as well as seasonal fluctuations in costs and item availability may also affect prices. Receipt of an event deposit secures the date and time only, and does not guarantee pricing. There is a non-refundable $1,000 fee to have your special event held in Hardwick Vineyard and Winery's timber-frame barn. This fee is used for the set-up and clean-up that takes place for your event. There is also an on site ceremony fee of $500.00.

Menu Options

General guidelines for menu options are as follows: All food services must be handled by the staff at Hardwick Vineyard and Winery ie bakeries for cakes/desserts. We require a minimum of $22.00 per person. All meals are served buffet style unless other options have been made with our coordinator. The buffets are not all-you-can eat, the charge is per plate. Please see our menu for meal options. Our professional event planners will make every possible effort to customize your party menu to your needs and desires. Please view our menu to make your selections on the last page of the packet.

Details
Hardwick Vineyard and Winery is happy to offer our white colored linen for use on each round table. Most of our tables seat 8 people comfortable and a few seat 6. Additional colors in tablecloths and napkins may be available with a minimum 2 week notice and an additional charge. A white tent is available upon request for outdoor use with minimum 1 month notice and an additional charge. Hardwick Vineyard and Winery has enough seating for a certain amount of people, if your party goes over that amount or you request more tables and chairs the final cost will be added to the final bill.

Use of our facility for your special event is based on a 6 hour maximum rental with no event going past 11:00pm. Accordingly, in certain instances, if you arrive early or leave later than your scheduled time you will automatically be charged an additional rental fee in increments of $250.00 an hour.

Alcohol Service
In compliance with state and federal laws, Hardwick Vineyard and Winery does not allow the service of alcoholic beverages to persons under 21 years of age. A valid local driver’s license is required proof of age. Should it be brought to the attention that anyone under the age of 21, or without proper identification, has been given or served, or has attempted to acquire alcohol on the premises, that person and any other persons involved will be asked to leave. Alcoholic beverages may never leave the premises, nor be taken outside of the main building at any time (i.e. tents outside). Hardwick Vineyard and Winery reserves the right to refuse alcohol service to anyone. The serving of alcohol will end a half hour prior to the ending of the event. There is to be no alcoholic beverages on the dance floor at any time.

Decorations and Rehearsals

Hardwick Vineyard and Winery allows you to decorate inside and out with our permission with what ever you prefer for your special day. Please let us know in advance what you have planned. We also have the right to refuse anything that is going to do harm to any of Hardwick Vineyard and Winery's property. We allow you to come the night before to do a walk through rehearsal between 4 p.m. and 7 p.m. between this time you can also decorate the inside of the barn and the tables. The morning of your event we ask you to come with any last minute details or decorations between 9 a.m. and 12 p.m., this is also a good time to have the cake delivered.

Restrictions
Because of our special permit restrictions on private functions, we encourage you to secure a date as soon as possible.

  • Only Hardwick Vineyard and Winery’s wine can be served
  • All food services must be handled by the staff at Hardwick Vineyard and Winery (ie. bakery) 
  • Hardwick Vineyard and Winery is a business that is open to the public Friday - Monday 11 a.m until 5 p.m. Our retail store and wine tasting will remain open during our regular hours of business.
  • There is no smoking inside any part of Hardwick Vineyard and Winery’s buildings or gazebo
  • Massachusetts state law prohibits the bringing of alcoholic beverages onto the premises for distribution (i.e. liquor or champagne favors). Alcoholic beverages may never leave the premises (i.e. purchased wine bottles)
  • Hardwick Vineyard and Winery doesn't provide babysitting services, children must be accompanied by an adult at all times.
  • Anyone that seems to have been drinking heavily prior to the event and are causing problems will be asked to leave.
  • No events are to go past 11:00pm.
  • Hardwick Vineyard and Winery is also our residence so please be courteous and thoughtful to our needs. Thank You!
